Outsourced Submittal Management FAQ

Can a subcontractor outsource construction submittals?

Yes. A subcontractor can hand off submittal preparation and tracking to an outside submittal service, the same way many firms outsource bookkeeping. Submittal Genius does this for subcontractors on commercial projects nationwide.

We gather product data, shop drawings, certifications, and warranties; assemble packages to the spec section; submit them through the GC's system; and track each one through comments, resubmittals, and approval. Your PM stays in the loop on decisions without doing the paperwork.

Outsourcing makes the most sense when submittals are holding up your schedule, your PMs are covering too many jobs, or you're catching up on a project that fell behind.

What does an outsourced submittal service do?

An outsourced submittal service handles the full submittal cycle so your team doesn't have to. Our services include reviewing the specs and building the submittal log for your scope; collecting product data, shop drawings, sample information, certifications, and warranties from you and your suppliers; assembling each package to match the spec section and submitting it in the GC's system; following up with suppliers, the GC, and the design team until each item is approved; and handling comments and resubmittals.

You also get weekly status reports and a field summary of approved installation requirements for your crew.

How much does outsourced submittal management cost?

We price each project individually after reviewing the scope of work, with monthly retainer services available at a discount. Cost depends on the number of spec sections, how many submittals are required, and how much supplier follow-up the job needs.

Do you work in Procore or our own project management system?

Yes. We work inside the system your project already uses. Add us as a user on your platform, or set up a submittal email address at your company for us to work out of. Nothing changes for the GC or design team; they see submittals coming from your company.

Do you work on projects outside your home state?

Yes. Submittal work happens in project management systems and email, so we support contractors and projects anywhere in the U.S.

Can you take over submittals on a project that's already behind?

Yes. Catch-up work is common. We start with an audit of the submittal log: what's approved, what's out for review, what has comments, and what was never submitted. From there, we prioritize open items by schedule impact and work them down.
